How Vaulte works

VAULTE · Last updated 22 July 2026

Vaulte is an autonomous business-development operator for recruitment and staffing firms. It does the commercial work that gets delayed when everyone is busy delivering — and it keeps doing it.

Client acquisition, not candidate sourcing. Vaulte wins you client companies. It is not an ATS, not a recruitment CRM, and it does not source or screen candidates.

01Vaulte learns your firm

It reads your website and public footprint to work out which roles you place, which sectors you serve, where you operate, and what a good client looks like for you. You correct anything it got wrong.

You: You confirm the picture. Ten minutes, once.

02It builds your revenue program

From that understanding it proposes the client companies worth targeting, which decision-makers to approach, what to say, and the boundaries it will operate inside — spend, volume, pricing, and what it must ask you before doing.

You: You approve the program and the limits.

03It finds companies likely to need you now

Not a static list. It looks for the signals that mean hiring is about to become someone's problem — active job postings, expansion, funding, a new commercial leader, a new site, a service line launching.

You: Nothing. You see why each company was chosen.

04It explains why each company matters

Every target carries its evidence: the signal that triggered it, the likely consequence for that business, why your firm is credible, and who inside it owns the problem. If the evidence is weak, the company is rejected rather than contacted.

You: You can overrule any choice, permanently.

05It runs the outreach you approved

Messages are written from a specific observed signal, not a template with a first name in it. Sending respects your daily volume, business hours, suppression list, and one-contact-per-company rules. Nothing goes out that you have not approved.

You: You approve the campaign. Not each message.

06It handles the replies

Replies are classified and answered where the answer is routine — pricing questions, timing objections, wrong contact, referrals. Opt-outs stop contact immediately. Anything material comes to you with the thread and a recommendation.

You: You handle the conversations that matter.

07It qualifies the opportunity

Need, authority, timing, fit, and risk — assessed against what was actually said, not inferred optimistically. Missing information is asked for. The result is a recommendation you can argue with, because the reasoning is shown.

You: You decide which to pursue.

08It reports what was actually produced

Every week: companies identified, decision-makers found, conversations live, opportunities qualified, meetings created, follow-up covered, and what changed. Verified outcomes are separated from estimates and forecasts.

You: You read it in two minutes.

09It learns which of this is working

Which sectors reply. Which buyer roles convert. Which message angle produces opportunities rather than just replies. Effort moves toward what is producing real commercial results and away from what is not.

You: Nothing. You see what changed and why.

10It repairs its own failures

A mailbox degrading, a failed sync, a stalled workflow — detected, contained, and repaired where it is safe to do so. A repair is not finished because something was deployed; it is finished when the affected work actually succeeds.

You: You hear about it only if it affects you.

What stays yours

What it replaces

Not your consultants and not your judgement. The repetitive commercial operating work that is routinely delayed, done inconsistently, or left undone — building the target list, finding the right contact, sending the follow-up nobody remembered, keeping the pipeline honest.

What it does not promise

Replies, meetings, and revenue are outcomes of your market and your offer, not guarantees of a system. Vaulte commits to doing the work consistently and showing you, with evidence, exactly what that work produced.
